Wholesale Tool Privacy Policy

This Privacy Policy describes how The Pickle Guys ("we," "us," "our") handles information in connection with our internal Wholesale Automation Tool (the "Application"), a private business application used by our authorized staff to manage wholesale orders, deliveries, and invoicing. The Application is not offered to the public and is used solely to operate our wholesale business.
Information We Process
- Wholesale account information — business contact details for our wholesale customers (company name, contact names, email addresses, phone numbers, and delivery addresses).
- Order information — products, quantities, sizes, prices, notes, and weekly order status.
- QuickBooks Online data — when connected, the Application accesses customer, item, and invoice records in our own QuickBooks Online company through Intuit's official API, solely to create and manage invoices for our wholesale orders.
How We Use Information
We use this information only to operate our wholesale business — taking and fulfilling orders, planning deliveries, generating and recording invoices, and communicating with our wholesale customers. We do not use it for advertising and we do not sell it.
Intuit / QuickBooks Online
Our use of the QuickBooks Online API complies with the Intuit Developer terms. Data retrieved from QuickBooks Online is used exclusively to create and manage our own invoices and is not disclosed to any third party except as needed to provide the Application. We do not store QuickBooks credentials in the browser; authorization tokens are held securely on the server side.
How Information Is Stored and Shared
Application data is stored using Google Workspace and Supabase (PostgreSQL), with access limited to our authorized staff. We share information only with the service providers that make the Application work — including Intuit (QuickBooks Online), Google, Supabase, and shipping carriers — and only as needed to provide those services. We do not sell personal information.
Data Retention
We retain wholesale account, order, and invoice information for as long as necessary to operate our business and meet legal and accounting obligations.
Security
We use reasonable administrative and technical safeguards, including restricted access and encrypted connections, to protect the information we process.
Your Choices
Wholesale customers may contact us to review, update, or request deletion of their business contact information, subject to our recordkeeping obligations.
Changes to This Policy
We may update this Policy from time to time. The effective date above reflects the latest revision.
